Terms & Conditions

Effective date: July 16, 2026. These Terms & Conditions replace all prior versions.

These Terms & Conditions ("Terms") govern all bookings, reservations, deposits, payments, and travel with Empowered Women Travel ("EWT," "we," "us"). By submitting a reservation request, paying a deposit, or making any payment toward a trip, you ("you," "traveler," "participant") acknowledge that you have read, understood, and agree to be bound by these Terms in full, on your own behalf and on behalf of any minor or other person for whom you book. If you do not agree, do not book.

1. Bookings, Payments & Pricing

A booking is confirmed only when we have received your reservation, the required deposit or payment, and we have issued written confirmation. Deposits are applied toward your trip total. Payment schedules and final-payment deadlines are stated in your trip communications; failure to pay by the stated deadline may result in cancellation of your booking without refund of the deposit. Prices are quoted in U.S. dollars, are per person unless stated otherwise, and are based on supplier rates, exchange rates, and fuel and tax levels in effect at the time of quotation. We reserve the right to adjust prices prior to final payment to reflect changes in these factors. Prices do not include international airfare, visas, travel insurance, gratuities, or items not expressly listed as included.

2. Cancellations & Refunds by You

All cancellations must be sent in writing to info@empoweredwomentravel.com. Unless expressly stated otherwise for a specific trip: deposits are non-refundable; cancellations after final payment are non-refundable except to the extent we actually recover funds from suppliers. Amounts paid to third-party suppliers (hotels, transport, guides, activity operators) are subject to those suppliers' own cancellation policies, which we cannot override. Unused portions of a trip (missed meals, activities, nights, or transfers) are not refundable. We strongly recommend travel insurance to protect against cancellation losses (see Section 6). We may, at our sole discretion, offer trip credits in lieu of refunds; any such credit is a courtesy, not an obligation.

3. Changes, Substitutions & Cancellation by Us

All itineraries, schedules, accommodations, activities, and inclusions are subject to change at any time, before or during travel, without prior notice. Published itineraries are a general guide only; mention of a specific destination, venue, or experience is not a guarantee that it will be visited or provided and does not form part of the contract. We may substitute accommodations, transportation, guides, or activities of reasonably comparable standard. You will receive a final itinerary shortly before departure; the final itinerary likewise remains subject to change for reasons including weather, safety, supplier availability, group size, and local conditions. If we cancel an entire trip for reasons within our control, our sole obligation and your exclusive remedy is a refund of amounts you paid to us for that trip, or, at your option, a credit toward a future trip. We are not responsible for any other costs you incur in connection with a cancelled or changed trip, including airfare, visa fees, or other travel arrangements made independently.

4. Force Majeure

We are not liable for, and shall not be deemed in breach of these Terms as a result of, any delay, change, disruption, or cancellation caused by events beyond our reasonable control, including without limitation: acts of God; weather events and natural disasters; epidemics, pandemics, and public-health measures; government actions, entry restrictions, and border closures; war, civil unrest, and acts of terrorism; strikes and labor disputes; supplier insolvency or failure; transportation disruptions; and utility or communications failures. In such events, refunds, if any, are limited to amounts we actually recover from suppliers.

5. Travel Documents, Health & Entry Requirements

You are solely responsible for obtaining and carrying a valid passport (with sufficient validity beyond your return date), any required visas, and all entry, exit, health, and vaccination documentation required for each destination, and for complying with all local laws. Denial of boarding or entry due to inadequate documentation, health status, or any other reason personal to you is not grounds for a refund. You are responsible for ensuring you are physically and medically fit to participate in the trip and its activities, and for disclosing to us any condition that could affect your ability to travel safely.

6. Travel Insurance

Comprehensive travel insurance — including trip cancellation/interruption, medical coverage, and emergency evacuation — is strongly recommended for all trips and may be required for certain international tours. You acknowledge that declining insurance places all risk of cancellation costs, medical expenses, evacuation costs, and lost or damaged property on you alone.

7. Assumption of Risk & Release of Liability

TRAVEL — PARTICULARLY INTERNATIONAL TRAVEL — INVOLVES INHERENT RISKS, INCLUDING BUT NOT LIMITED TO: ILLNESS OR INJURY; DISEASE; QUALITY-OF-CARE DIFFERENCES IN MEDICAL FACILITIES; TRANSPORTATION ACCIDENTS; CRIMINAL ACTIVITY; POLITICAL INSTABILITY; TERRORISM; NATURAL DISASTERS; WEATHER; ANIMAL ENCOUNTERS; AND RISKS ASSOCIATED WITH PHYSICAL ACTIVITIES INCLUDING WALKING TOURS, WATER ACTIVITIES, HIKING, AND ADVENTURE EXPERIENCES. BY BOOKING AND PARTICIPATING, YOU VOLUNTARILY AND KNOWINGLY ASSUME ALL SUCH RISKS, WHETHER OR NOT LISTED ABOVE, INCLUDING THE RISK OF SERIOUS INJURY, ILLNESS, DISABILITY, PROPERTY LOSS, OR DEATH, AND YOU RELEASE, WAIVE, AND DISCHARGE EMPOWERED WOMEN TRAVEL, ITS OWNERS, ORGANIZERS, EMPLOYEES, CONTRACTORS, AND AGENTS FROM ANY AND ALL CLAIMS ARISING FROM SUCH RISKS TO THE FULLEST EXTENT PERMITTED BY LAW. Your decision to participate in any activity is yours alone, and you may opt out of any activity at any time at your own cost.

8. Independent Third-Party Suppliers

EWT organizes and coordinates trips using independent third-party suppliers — including airlines, hotels, ground transportation, restaurants, local guides, and activity operators — that we do not own, operate, or control. EWT acts solely as an intermediary. We are not liable for the acts, omissions, negligence, or default of any supplier, or for any injury, loss, damage, delay, or expense arising from services provided by suppliers. Your legal recourse for supplier failures lies with the supplier.

9. Traveler Conduct

You agree to conduct yourself in a manner respectful of fellow travelers, hosts, local communities, and local laws. We reserve the right to refuse or remove from a trip, without refund, any participant whose behavior is, in our reasonable judgment, dangerous, unlawful, abusive, or materially disruptive to the group. Costs arising from removal (including return travel) are your responsibility.

10. Photography & Media

Trips may be photographed or recorded. Unless you notify us in writing before departure, you grant EWT a perpetual, royalty-free license to use images and recordings that include your likeness for our marketing, website, and social media. You may withdraw consent for future use at any time by writing to us.

11. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW: (A) EWT'S TOTAL AGGREGATE LIABILITY ARISING OUT OF OR RELATING TO ANY TRIP OR THESE TERMS SHALL NOT EXCEED THE AMOUNTS YOU ACTUALLY PAID TO EWT FOR THE TRIP GIVING RISE TO THE CLAIM; AND (B) EWT SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, INCLUDING LOST WAGES, LOST OPPORTUNITY, OR EMOTIONAL DISTRESS, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. Some jurisdictions do not allow certain limitations; in those jurisdictions our liability is limited to the greatest extent permitted.

12. Indemnification

You agree to indemnify and hold harmless EWT and its owners, organizers, employees, contractors, and agents from any claims, damages, losses, and expenses (including reasonable attorneys' fees) arising from your breach of these Terms, your violation of law, or your acts or omissions during a trip.

13. Governing Law & Disputes

These Terms are governed by the laws of the State of Georgia, without regard to conflict-of-law principles. Any dispute arising out of or relating to these Terms or any trip shall be brought exclusively in the state or federal courts located in Fulton County, Georgia, and you consent to the personal jurisdiction of those courts. Any claim must be filed within one (1) year after the trip's scheduled end date or be forever barred, to the extent permitted by law. If any provision of these Terms is held unenforceable, the remaining provisions remain in full force.
